1. Ask for the total monthly cost
Quotes can include equipment rental, print charges, consumables and maintenance. Ask how colour and mono pages are charged, whether there is a minimum volume, and what happens if you print more or less than expected.
Request the rental and service charges separately where possible. It makes offers easier to compare.
2. Understand the contract commitment
Check the minimum term, renewal rules, notice periods, early termination conditions and what happens to the printer at the end. Ask about installation, delivery and collection fees. Don't assume a lease ends automatically after the last rental.
3. Understand what support includes
Who do you call if the device stops working? Is remote support included? Are engineer visits charged separately? Does toner arrive automatically? These details matter to businesses that rely on printing every day.
4. Have these details ready
- Number of people using the device
- Approximate monthly black-and-white and colour page counts
- Whether you need A3, scanning, secure printing or finishing
- Existing machine model and contract end date
- Business postcode in Wirral, Chester, Ellesmere Port or nearby
